  • Checking Up on Your Employees
By joel on February 24, 2012 | No Comments Comments
It sometimes boggles the mind to think that there are some companies that do not have a way to check to see if their employees are doing their jobs. There are employers that seem to think that if no one is complaining about the service that is being done than everyone is happy. That can not be further from naïve behavior. If you as a company do not care about what your employees are doing for your company then go for it. If you are completely satisfied with the work they are doing and are not looking to gain in profit from year to year, then keep doing what you are doing and you can stop reading. If you want to increase your performance year over year, keep reading.
No matter if you have ten employees or over one thousand employees, you want to make sure that you have some sort of program in place that will allow you check on what they are doing. You can find out quickly if you have employees that are not performing up to the standards of what your company has deemed as correct. You never want to wait and just put all of your faith in the idea your employees will not make mistakes or become complacent. After doing the same thing over and over again in their job, employees might find a way to short cut what their job is and end up not doing what is expected.
Many companies do not want to invest a large amount of money into trying to find that program that will make sure their employees are doing their job. Some companies try to find an internal program trying to hire people from within who know the ins and out of the company. Other companies seek the companies that can do quality assurance checks from outside the company. The companies that see help from outside of their four walls are looking for impartial help for their company. They do not want to have anyone changing scores in order to make it look like everything is doing well.
You can do whatever you desire as a company. The thing you just have to do is make sure that you do something to ensure your employees are doing their job. You do not want to be hovering over them like a hawk, but you do want to ensure they are doing what you are asking. There are various programs and tips out there, but it really depends on the type of work you do in which program works for you. In the self storage industry, you can have people walk in to the local stores, call them on the phone, or even email them to see how they interact with the customer. If all goes well then you can grade them with a high mark. If everything does not go great according to your specifications, then you can make the necessary adjustments.
Make sure that you check up on your employees from time to time. It does not have to be everyday, but it does have to be more active than once a year. There are many recommendations out there and you don’t have to listen to them all. Just choose a program that will fit you and your company. Remember, your employees want to grow as well. Give them the tools they need to get better and your company will reach new heights.

  • Quality Checks

Many companies do not know or feel they need some kind of system to check their quality. There is no doubt that companies need some kind of checks and balance system to know how they are actually doing and what needs improving. It would depend on the type of company that is being talked about and what they do to earn income on how often they need to check their quality. No matter what type of company you run, this kind of system is needed.

You can fool yourself into thinking that everything that you are doing is what the customer is actually wanting. You can believe that you are running on all cylinders and even all your employees are pleased that they work for the company. Maybe your company is being run so successfully that all that is true. It is not likely. The saying that you are only as strong as your weakest link, that is true. If you have the employee that you deem the weakest of all your associates as a customer facing employee, you can not always be too sure what they are saying to the customer. That will and can scare some CEOs.

There is not a written script or report that is a one size fits all kind of solution. You could have a lot of different ideas under your roof if you ask your employees what the customer seems to like or find someway to get the opinion of the customer. In every business that is out there, the customer controls whether or not that company fails. It would be in your best interest if the customer loves what you do for them and you have some kind of system in place that can ensure their happiness with your product or service. Yesterday was too late to get started with putting your quality system in place.

Do not think that if you find something of concern when you create this system of checking your quality that it will be fixed over night. Take the time to understand what is wrong and really think about how the problem can be solved. Try to correct the issue the first time instead of having to go back and attempt to correct the same issue. It may not seem like it first, but taking the time to have some sort of total quality assurance system as a part of your daily business will keep the doors to your business open.

A quality assurance program is a training that is provided to the employees of a firm in order to make them assess the standard of their firm and of their performance. This training will help them in understanding their strengths and lacunae as the employees of an organization and will also expose the loopholes of the organizational framework as such. The assessment of the standard of an organization, its operational activities and its employees is done by both internal and external auditors who visit the firm periodically to evaluate it. If they are satisfied with all relevant aspects of the organization and its staff they will qualify the organization for certifications.

A program like this will help the employees of an organization improve their performance and the system of the organization as a whole. The goals of the employees will be to work towards getting a certification for the organization that they work for or to maintain the certification by improving their performances. These programs are developed in modules and conducted by industry experts and auditors. By participating in this training the employees of an organization can become aware of everything that their organization is about and everything that is expected of them. They can implement the guidelines that are provided to them and work towards enhancing the standard of their performances.

A checks and balances program is offered by many firms as a part of the professional development program to its fresh employees. This program is also offered by many training institutions to students who are on the verge of completion of their general academics and are on the threshold for professional education. By taking part in this training program these students can understand the standard of the different firms that would apply with for work. They will also know what they have to do in order to elevate the standard of their performances and also that of the firm. Though this program can be taken part in by people who have a degree in general academics, one needs to be highly qualified in this area in order to take up this field as a profession.

By taking part in a specialized quality control program and earning any certifications one can expect to take up a profession in this very field itself. One needs to visit different firms and assess their standards, make reports and advice them on issues if present. This is a highly paying career and it involves specialist work. Such professionals are in great demand, especially in the biopharmaceutical industries because this industry is very strict with its standards and expects its staff to strictly strive to upkeep the standard of the industry. Apart from training in general standards, the staff needs to be trained to a certain degree on technical aspects also because while trying to evaluate the standard of the infrastructure, the delivery and the operational activities one needs to have sound technical knowledge of the processes. Otherwise he will have difficulty is appraising and evaluating the standards of the firm.

A QA program is generally conducted for a couple of days or for one full week at a stretch depending upon the availability of the faculty and candidates. The firms are highly benefited through these programs as many of them get certifications by sending their candidates for undertaking the training.

A quality assurance program should be incorporated for all production organizations to ensure quality in their each and every step of operations. Normally, this program describes the different methods and techniques installed for verifying the standard of quality. To start with, this entire program should be planned and documented by the quality manager and his team. The program is going to be different for different types of business. Actually, it is going to be designed as per the specification of the related industry. For each industry, the business system is going to be unique starting from the supplier point to the customer point. That is why, the methods of controlling quality is also going to differ from hotel industry to banking industry to self storage industry and so on.

The planning of the quality assurance program should include all aspects of the business. Most of the businesses start from procuring customer orders for production. The customer orders should describe the specification of the products ordered for. However, the procurement process itself should maintain the standard, in order to attain quality. Similarly, the quality program should be employed in all steps like procurement practices, receipt of materials, receipt inspection of supplier materials and eventual production process. All products should be taken for quality verification before it goes for packaging.

The planning of quality assurance program will also include the processes after production. The product packaging and handling should follow the quality specification. All these end products should be properly stored at the stock, so that none of them get damaged in any situation. This is also maintained as per the program. Finally, the program deals with the shipment issues, also. The shipping process should also perform according to the program specification. If a lot of products pass all these quality verification stages successfully, then a quality certification is issued to guarantee the quality.

After documenting the details on quality assurance program , the related documents could be attached to the program. Any type of desk or work instructions for controlling quality at any point of the business should be attached to the main program. Actually, these real documents are one of the most important evidence of the quality program. All attached desk or work instructions affecting to the quality must be approved by the quality manager. The entire department of quality control should follow the program religiously. Proper training should be given to the quality personnel, so that they can conduct this program over the whole system.

The quality assurance program should also depict the correctional methods, as necessary. The substandard items in the total system should go through a correctional phase to attain the standard level of quality. These methods of rectification must be approved by the management and the quality manager. The same is true for employees also. In case of any inferior performance, the employees should undergo proper training program to achieve proficiency in their stream of business.

All this information are illustrated in the program to avoid confusion. The program might get corrected or revised under the guidance of the management. The latest modifications to the program should be updated to the original document then and there, so that the quality team can implement the latest program immediately. Any product or service passing out of these detail methods of verification must adhere to the specified customer requirement and genuine quality.
